We're seeking a Design Assistant with exceptional administrative prowess, a keen eye for detail, and strong communication skills to join our team. This role involves providing comprehensive support to our design team, ensuring seamless project management from inception to completion. Responsibilities High Administrative Skills Maintain organized project files, documentation, and records. Assist in scheduling appointments, meetings, and project timelines. Manage emails, phone calls, and correspondence efficiently. Vendor and Trade Follow-Up Liaise with vendors and trades to ensure timely delivery of materials and services. Negotiate pricing and terms to secure the best value for projects. Exercise judgment in making financial decisions on bids to optimize project budgets. Proposal Creation and Approval Collaborate with the design team to prepare comprehensive proposals for client approval. Assist in compiling project specifications, cost estimates, and timelines. Client Communication Serve as a point of contact for clients, providing updates on project progress and addressing inquiries promptly. Maintain professional and courteous communication at all times. Purchase Order Management Generate accurate purchase orders (POs) and ensure timely signature and distribution to appropriate vendors/manufacturers. Track PO status and follow up on outstanding orders to ensure timely delivery. Job Scheduling and Deliveries Coordinate project schedules, including deliveries and installations, in collaboration with the design team and vendors. Monitor progress and adjust schedules as necessary to meet deadlines. Profit Margin Tracking and Reporting Monitor project expenses and revenues to track profit margins. Assist in preparing reports on project financial performance and provide insights for decision-making. Qualifications Degree in Business Administration or related field preferred. Proven experience in administrative roles, preferably within the design industry. Strong organizational skills and attention to detail. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite and project management software. Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
